Wealthbox is a very good CRM and a lot of the firms we speak to already run on it. So this comparison is narrower than most. It is not about which product is better. It is about whether a CRM workflow is the right tool for onboarding a new client.
If you are already paying for Wealthbox and wondering whether its workflows cover onboarding, this is the honest answer.
A workflow tells your team what to do, it does not do it
Wealthbox handles onboarding the way a CRM should. You build a workflow template, and every new client triggers a sequence of tasks assigned to the right people with the right due dates. Nothing gets forgotten, and the whole team can see where each client has reached.
That is genuinely valuable, and it is why firms stay on Wealthbox for years. Where it stops is the step that actually takes the time. A task called request client identification still means somebody writing an email, waiting, and writing again. The workflow tracks the delay rather than removing it.
OnBord does that step instead of tracking it. The advisor opens the account with what the firm already knows, and the client gets a text. They complete their details on their phone in a few minutes, reminders go out on their own, and the information comes back structured and confirmed by the client.

Where CRM onboarding usually breaks down
Ask an advisor where a new account stalls and the answer is rarely the software. It is the client who has not opened the email, or has opened it on a phone and given up on a form built for a desktop, or has completed half of it and left the rest for a weekend that never arrives.
A CRM workflow is excellent at recording that this has happened. It is not designed to prevent it. Nor should it be. Wealthbox is built to be your firm’s memory, not your client facing intake process.
We built OnBord for that specific failure. Text messages get read. A form that works properly on a phone gets finished. Reminders go out without anyone in your office having to send them, and your dashboard shows you exactly where each client has stopped.
You do not have to choose
This is not a replacement decision. Keep your CRM. It holds the client history, the pipeline and the team activity, and no onboarding tool should try to take that over.
What changes is that the onboarding tasks sitting in your workflow stop being manual. Instead of a checklist reminding somebody to chase a client, the client has already finished, and the compliance documents have already gone out with a record of delivery.
At $30 per user per month plus $7 per household created, the question is simply whether removing that chase is worth roughly the cost of a few coffees each month.
